How to Book a Room in HAL 2 (for Non-Admins)

Overview

Since migrating from HAL to HAL 2, all bookings for meeting rooms and boardrooms are now handled directly within HAL 2.

⚠️ Important

Booking access depends on your role: Admin, Organizer or User.

Understanding Roles

Admin 

  • Can book rooms on behalf of their organization or as an individual

  • Can manage organization settings
  • Can track booking usage in Settings → Billing
  • Can purchase additional booking hours in Settings → Billing 
  • Manage roles in the Users tab on the Organization page.

Organizer 

  • Can book meeting rooms on behalf of their organization or as an individual
  • Do not have access to organization settings or billing

Users

  • Can book rooms using personal credits
  • Do not have access to organization settings or billing

Free Meeting Room Quota

If you’d like to book on behalf of your startup using free credits, please reach out to your team Admin or Organizer for help. Otherwise, you can purchase credits to book personally:

  • Go to Settings → Billing → Credits
  • Track your credit usage and access your invoices

How to Book a Meeting Room or Boardroom

You can book a space in three ways:

Option 1: From Spaces

  1. Go to Spaces in HAL 2
  2. Click Book Now
  3. Select the type of room
  4. Choose the Zone (SHARE or CREATE), date, time, and duration
  5. Select Book as: Personal
  6. Pick a room
  7. Click Book

Option 2: From Search or CMD + K

  1. Press CMD + K or go to Search and select Book a Space
  2. Select the type of room
  3. Choose the Zone, date, time, and duration
  4. Select Book as: Personal
  5. Pick a room
  6. Click Book

Option 3: If You Have a Specific Room in Mind

  1. Go to Spaces and search for the room
  2. Click the room to open its profile
  3. Click Book
  4. Choose date and duration
  5. Select Book as: Personal
  6. Available slots will appear—choose the one you want
  7. Click Book

💡 Bonus: You can also book directly from the Map by clicking on the room.

Each space now shows more details to help you choose the right room:

  • Updated photos
  • Space type
  • Capacity
  • Available equipment (HDMI, TV, USB-C, whiteboard, etc.)
  • Location on the map
